Terms & Conditions of Service

Dear Sir / Madam

Please read and agree to the Terms and Conditions of Service for Tennis - Times before participating in any Tennis - Times services. Tennis - Times may review and update these Terms and Conditions from time to time and reserves the right to amend any rules necessary to ensure the safe and efficient operation and financial viability of lessons.

These Terms apply to all Tennis-Times services, including consultations, bookings, events, Tennis-Times-delivered sessions, and introductions to independent coaches/providers.

1) Definitions

  • “Tennis-Times”, “we”, “us”: Tennis-Times operated by Tennis - Times (and/or the relevant trading entity shown on invoices/website).

  • “You”: the customer/participant. For juniors, this includes the parent/legal guardian.

  • “Session”: any coaching session, group, camp, event, matchplay, or activity listed by Tennis-Times.

  • “Partner Coach/Provider”: an independent third-party coach, club, venue, or provider introduced or booked via Tennis-Times.

  • “Admin Fee”: the Tennis-Times consultation/booking/intermediary fee paid to Tennis-Times.

  • “Coaching Fee”: the fee for coaching/service delivery paid to the Coach/Provider (unless clearly stated otherwise).

2) Our role — Tennis-Times as introducer

Tennis-Times may operate in two ways:

A) Tennis-Times-delivered sessions

Where Tennis-Times is shown as the session provider, we deliver the session directly and these Terms apply in full.

B) Sessions delivered by Partner Coaches/Providers

Where a session is delivered by a Partner Coach/Provider:

  1. Tennis-Times acts as an introducer and booking intermediary only.

  2. The coaching/service contract is between you and the Partner Coach/Provider for session delivery.

  3. Partner Coaches/Providers remain fully responsible for:

    • safeguarding and supervision

    • appropriate qualifications/DBS (where applicable)

    • public liability/professional insurance

    • risk assessments and safe session delivery

    • complaints and outcomes relating to their service

  4. Tennis-Times is not responsible for the Partner Coach/Provider’s acts/omissions.

This section is intended to be highly visible.

3) Eligibility (Adults & Juniors)

  • Sessions are available to adults and/or juniors depending on the listing.

  • Juniors may only participate with a parent/guardian’s acceptance of these Terms (and where required, adult supervision/availability).

  • We may refuse entry, pause participation, or recommend a more suitable session if age/ability/behaviour makes the booking unsuitable or unsafe.

4) Booking process

  • Bookings must be made via the Tennis-Times booking system or approved channels.

  • Places are limited and allocated on a first-come basis.

  • If a session has insufficient bookings, Tennis-Times may cancel it. We will aim to notify you via email/text/booking system where reasonably possible.

5) Consultation & matching (where offered)

We may offer a consultation/questionnaire to recommend the best option for you. You agree to provide accurate information so we can match you appropriately.

6) Fees, payments and how they work

A) Admin Fee (paid to Tennis-Times in advance)

  • The Admin Fee is paid before we provide tailored recommendations, hold a slot, share provider details, introduce a provider, or confirm a booking (where required).

  • It covers administration, consultation time, matching, communications, booking support, and record-keeping.

B) Coaching Fee (paid to the Coach/Provider)

  • If your session is delivered by a Partner Coach/Provider, the Coaching Fee is paid directly to them, usually on arrival (or as they specify).

  • The Provider is responsible for receipts and payment handling for their Coaching Fee.

C) Missed payments

If an Admin Fee is due and not paid, Tennis-Times may pause/cancel your booking or stop the introduction process.

7) Cancellations, rescheduling & no-shows

A) Admin Fee

  • Admin Fees are generally non-refundable once the work has started (e.g., recommendations issued, provider introduced, or slot held), except where required by law.

B) Tennis-Times-delivered sessions

  • Cancellation windows are shown at booking (or communicated in writing).

  • Late cancellations or no-shows may be charged and are not refundable.

C) Partner Coach/Provider sessions

  • The Provider’s cancellation/no-show policy applies to their Coaching Fee.

  • Tennis-Times may retain the Admin Fee where matching/admin work has already been completed.

8) Refunds

  • Admin Fees: see section 7.

  • Coaching Fees (paid to Providers): dealt with by the Provider’s policy.
    Nothing in these Terms limits your statutory consumer rights.

9) Price changes

We may change Admin Fees or Tennis-Times pricing from time to time. Where you are on a recurring arrangement, we will give reasonable notice before changes take effect.

10) Safeguarding & standards

Partner Coach/Provider responsibility

All Partner Coaches/Providers remain fully responsible for safeguarding, insurance and service delivery.
This includes appropriate policies, supervision, DBS checks where required, and adherence to safeguarding guidance and venue rules.

Behaviour and safety

We may refuse service or remove any participant for unsafe behaviour, abuse, harassment, discrimination, or conduct likely to endanger others. No refund is due where removal is justified on safety grounds.

11) Health, fitness and participation at your own risk

  • You confirm the participant is medically fit to take part, and will seek medical advice where appropriate.

  • Tennis is a physical activity with inherent risk of injury. Participation is at your own risk, subject to section 16 (liability).

12) Weather & cancellations

  • Outdoor sessions may be modified, delayed, relocated or cancelled if conditions are unsafe.

  • We generally ask participants to attend the venue unless cancellation is communicated in advance.

  • Decisions may be made on-site immediately before the session start where forecasting is uncertain.

13) Venue rules & property

  • Venue rules apply (e.g., no studded shoes; no chewing gum; respectful conduct).

  • You are responsible for your belongings.

  • Any damage caused by negligence may be charged to the responsible person/parent/guardian and must be reported immediately.

14) Photos and videos

  • By attending sessions/events, you agree that photos/videos may be taken for coaching feedback and promotion.

  • You may opt out at any time by emailing tennistimesmatters@gmail.com

  • If we publish an image/video and you request removal, we will act as soon as reasonably possible.

15) Complaints and disputes

  • For Tennis-Times admin/booking issues: email tennistimesmatters@gmail.com

    with details.

  • For Partner Coach/Provider session delivery issues: raise it directly with the Provider first; Tennis-Times may assist with escalation where appropriate.

16) Liability

  • We do not exclude liability where it would be unlawful to do so (including for death or personal injury caused by negligence).

  • Subject to the above, Tennis-Times is not liable for losses arising from acts/omissions of independent Partner Coaches/Providers.

  • Tennis-Times is not liable for indirect or consequential losses (e.g., loss of earnings).

  • Personal property is your responsibility.

17) Data protection & confidentiality

  • We handle personal data in line with UK GDPR and the Data Protection Act 2018.

  • Please read our Privacy Notice (linked on our website/booking pages).

  • We share only the minimum necessary data with Partner Coaches/Providers to arrange sessions.

  • We treat consultation notes and customer data as confidential, except where sharing is required for delivery, safeguarding, legal obligations, or professional advice.

Data misuse / breach

If any user, partner, or provider improperly discloses, misuses, or attempts to exploit Tennis-Times data or materials, Tennis-Times may suspend access, terminate relationships, and pursue appropriate remedies (including legal action where necessary).

18) Intellectual property

All Tennis-Times materials (frameworks, plans, documents, branding, videos and content) remain the property of Tennis-Times unless stated otherwise.
You may not copy, distribute, resell, or publish Tennis-Times materials without written permission.

19) Changes to these Terms

We may update these Terms from time to time. The latest version will be available on our website and applies to future bookings.

20) Governing law

These Terms are governed by the laws of England and Wales. Courts of England and Wales have jurisdiction.

General:
Sessions are available to individuals 18 years of age and older. Children can also attend individual lessons if their parents agree to the terms and conditions.

We take intellectual property seriously and expect all users, partners, and collaborators to respect this policy.
